Global ERPNext Delivery: From Nairobi to the World

Karani GeoffreyKarani Geoffrey7 min read

There is an assumption in enterprise software that serious ERP delivery happens in London, Frankfurt, Bangalore or Toronto, and that everywhere else is where you buy cheap hours. It is a stale assumption, and ERPNext in particular has broken it.

ERPNext is open source. The framework beneath it, Frappe, is public. There is no licence gate, no territory restriction and no reseller cartel deciding who is allowed to be competent. What separates a good delivery firm from a bad one is engineering depth, operational understanding and the discipline to run systems in production. None of those have a postcode.

Upeosoft Limited is a Nairobi company with a deliberately global mandate: software and automation rooted in Kenya, serving businesses worldwide. This is how that actually works.

Why ERPNext is a genuinely global delivery product

Some software is inherently local. Payroll compliance is local. Tax filing formats are local. But the core of an ERP - stock movement, manufacturing, procurement, accounting structure, project costing, CRM - is remarkably consistent across countries. A wholesale distributor in Nakuru and one in Rotterdam have the same fundamental problems: stock accuracy, margin visibility, credit control, and staff who avoid systems that are annoying.

ERPNext multi-company, multi-currency and multi-language support means the same platform serves both. What varies is configuration, integrations and localisation - and those are engineering tasks, not geography.

Because ERPNext is open source, our clients also avoid the thing that traps mid-market companies globally: per-user licence inflation. You pay for engineering and hosting, not for the privilege of adding a warehouse clerk.

The timezone advantage nobody talks about

Nairobi runs on East Africa Time, UTC+3. Look at what that overlaps with in a normal working day:

  • Europe: one to two hours ahead of Central European Time. Effectively a full shared working day with Berlin, Amsterdam, Milan, Warsaw and Lagos.
  • UK and Ireland: three hours ahead. Our afternoon is their morning; overlap runs most of their working day.
  • Gulf and Middle East: within one hour of Dubai, Riyadh and Doha. Essentially the same day.
  • South Asia: two and a half hours behind India. Full overlap.
  • US East Coast: our late afternoon and evening covers their morning - enough for a daily standup and same-day escalation.

Compare that to the classic offshore model where a European client sends a question at 5pm and receives an answer 22 hours later, having lost a day. From Nairobi, an ERPNext support ticket raised in Munich at 9am is being worked on at 10am local time by an engineer who is fully awake and mid-shift.

Timezone is not a soft benefit. In ERP support it is the difference between a stock issue resolved before the afternoon dispatch run and a stock issue resolved tomorrow.

How we run remote ERPNext delivery without losing quality

Remote delivery fails when it is treated as "the same project, but over email". We run it as a distinct discipline.

Discovery is synchronous and structured

The Understand phase - mapping processes, users, workflows, data and success criteria - happens live, on video, with screen sharing and recorded sessions. We ask clients to walk us through real documents and real transactions rather than describing them. A recorded process walkthrough is worth more than a fifty-page requirements document nobody will read twice.

Written decisions, not verbal agreements

Every material decision - which module to use, whether to customize or extend, what a workflow state means - is written down and shared. Distributed teams cannot rely on hallway memory. This also protects the client: when a new stakeholder asks why something works a certain way in month nine, there is an answer with a date on it.

Environments clients can actually see

Staging instances, not screenshots. Clients test on their own data in a safe environment before anything reaches production. Docker and Kubernetes on AWS make spinning up a faithful staging copy routine rather than a favour.

Asynchronous by default, synchronous by design

Daily written updates, weekly live reviews. That combination gives distributed stakeholders continuous visibility without turning the project into a meeting factory.

Localisation, compliance and data residency

Serving clients worldwide means taking local requirements seriously rather than assuming a Kenyan configuration will travel. In practice, our approach is:

  • Regional tax and accounting handled through ERPNext's built-in localisation model plus configuration, with country-specific requirements confirmed against the client's own accountant or auditor. We engineer to their rules; we do not invent them.
  • Data residency is a design input. Hosting region is chosen deliberately - a European client with GDPR obligations gets EU-region infrastructure. This is an architecture decision made in the Design phase, not discovered during a compliance review.
  • Integrations follow the market. Payment systems, APIs and data synchronisation are built against whatever rails the client's market actually runs on - which differs enormously between Nairobi, Dubai and Chicago.

The engineering standard is the same everywhere

We do not maintain a "local" tier and an "export" tier. The stack is the same for a Nairobi distributor and an overseas manufacturer: Python, TypeScript and Dart; Next.js, React and Tailwind on the front; Frappe, FastAPI, Django and Node on the back; PostgreSQL, MariaDB and Redis for data; Docker, Kubernetes and AWS for infrastructure; Anthropic Claude and OpenAI where AI genuinely helps.

The same is true of practice. Version-controlled customizations in proper Frappe apps. Migrations that run. Tested backups. Monitoring that alerts a human. Upgrade paths that do not require a rewrite. These are the things that determine whether an ERP is still trusted in year four, and they are non-negotiable regardless of which continent the invoice goes to.

What global clients typically hire us for

  • Full ERPNext implementation for mid-market companies replacing spreadsheets or an aging legacy ERP.
  • Rescue and stabilisation of an ERPNext instance that a previous vendor customized badly, usually including an upgrade path back to a supportable version.
  • Custom Frappe app development where a business has a genuinely unusual operating model that standard modules cannot express.
  • Integration engineering - connecting ERPNext to ecommerce, payment providers, logistics partners, BI tools and internal systems.
  • Performance and security work on instances that have grown past what their original configuration can carry.
  • Ongoing support with real response expectations, monitoring and advisory rather than a ticket queue into the void.

Start with evidence: the free ERPNext health audit

If you already run ERPNext anywhere in the world and something feels wrong - it is slow, upgrades are frightening, adoption stalled, reports disagree with each other - do not start with a proposal. Start with a diagnosis.

UpeoAudit is our free ERPNext and Frappe health audit. It examines configuration quality, performance, security posture, customization approach and upgrade readiness, and returns findings you can act on with or without us. It is the fastest honest way to find out whether you need a partner, a tune-up, or nothing at all.

A note on AI, since every ERP conversation now includes it

We build AI systems and automation, and we use them in production. We also see a global pattern: companies buying AI capability before their operational data is trustworthy enough to reason over. The result is expensive disappointment. If that pressure sounds familiar, read why you should not get pressured into buying AI before your business is ready. Get the system of record right first. The AI layer becomes dramatically more valuable - and dramatically cheaper - once it is sitting on clean, connected data.
